This role is a strong fit for someone who is organized, self-directed, service-oriented, comfortable owning data accuracy, and wants to grow their experience in philanthropy and impact measurement.

Key Responsibilities include but are not limited to:

Grantmaking Operations

  • Coordinate partnerships and grant review logistics as needed, including researching, compiling materials, and following up with partners.
  • Draft and process routine grant correspondence (award letters, reporting reminders, etc.).
  • Partner with Finance on paperwork needed to process payments, track disbursements, and verify grantee compliance.
  • Maintain organized digital files for audit readiness.

Team & Administrative Support
  • Provide day-to-day administrative and scheduling support to the Impact team, helping the team manage calendars, meetings, and competing priorities.
  • Coordinate team and cross-departmental meetings, including scheduling, preparing agendas and materials, taking notes, and tracking follow-ups.
  • Maintain team calendars, timelines, and deliverable trackers to keep work on schedule.
  • Collaborate on special projects that improve team efficiency, documentation, and workflows.

Grant Reporting & Data Collection
  • Collect data and deliverables specified in each grant agreement’s reporting requirements, following up with grantees as needed to ensure completeness and timeliness.
  • Enter and maintain accurate grant and impact data in our tracking systems and dashboards (e.g., Salesforce, Asana).
  • Build and update reports, dashboards, and data summaries for internal and external audiences.
  • Run periodic audits of grant data to ensure accuracy, completeness, and reporting compliance.

Qualifications
  • Proven experience in an administrative, operations, grant management, or data role (nonprofit/philanthropic experience a plus).
  • Strong organization, attention to detail, and time management, with the ability to juggle multiple priorities.
  • Demonstrated ability to work independently and own data accuracy with minimal oversight.
  • Comfort with database and project tracking tools; experience with Salesforce and Asana a plus.
  • Proficiency with Microsoft Office.
  • Excellent written and verbal communication.
  • Discretion with sensitive information and enthusiasm for the Foundation’s mission.

  • Occasional evening or weekend work may be needed to support organization-wide activities.
Physical Requirements
  • Frequent sitting and computer work (keyboard/data entry).
  • Occasional standing, walking, bending, or light lifting (up to 30 lbs).
Reasonable accommodation may be made to enable individuals with disabilities to perform essential functions.
